This Privacy Policy explains how Alignya Solutions LLP ("WiseMatcher", "we", "us", or "our") collects, uses, shares, and protects information in connection with the WiseMatcher job-matching service (the "Service"). It applies to our website and to the WiseMatcher application used by our business customers.

WiseMatcher is a business-to-business service. Our customers are recruiters and staffing agencies who upload the resumes of their candidates, configure automated job searches, and receive AI-matched job listings by email. If you are a job candidate whose resume was uploaded by a recruiter, please see the Candidate Data section below and contact the recruiter who manages your information directly.

Who We Are

The Service is operated by Alignya Solutions LLP, located at 5307 Victoria Drive #978, Vancouver, BC, Canada. We are the company responsible for the information described in this policy. You can reach us at any time at hi@wisematcher.com.

Information We Collect

We collect the following categories of information:

Account Information

When you create an account or purchase a subscription, we collect your name, email address, login credentials, and the configuration details of your matchers (such as the target position, country, work model, mailing cadence, and the recipient email address you choose to receive matches).

Candidate Resumes and CVs

As part of using the Service, you upload candidate resumes and CVs. We extract the text from these documents and store that text so the Service can match candidates against job listings. The information in a resume may include a candidate's name, contact details, work history, education, and skills. You provide this information about other people, and you are responsible for having the rights and permissions to do so (see Candidate Data below).

Payment Information

Subscriptions are billed through our payment processor, Stripe. When you pay, your card and billing details are collected and processed directly by Stripe under its own terms and privacy policy. We do not store your full payment card number. We receive limited billing-related information from Stripe, such as your customer and subscription identifiers, plan, and renewal dates, so we can manage your account.

Information Collected Automatically

When you use the Service, we automatically collect certain technical and usage information, including your IP address, browser type, device and operating system information, pages and features you use, referring pages, and the dates and times of your activity. We and our providers collect some of this through cookies and similar technologies (see Cookies and Analytics below).

Communications

When you contact us for support or otherwise, we collect the information you choose to provide, such as your email address and the contents of your message.

How We Use Information

We use the information we collect to:

• Provide and operate the Service, including running your matchers, matching candidate resumes against job listings, and emailing matches to the recipient you designate;
• Process payments, manage subscriptions, and handle billing and renewals;
• Provide customer support and respond to your requests;
• Maintain the security and integrity of the Service, detect and prevent fraud or abuse, and troubleshoot problems;
• Improve and develop the Service, including analyzing usage to understand how features are used and to build new ones;
• Send you administrative and transactional messages about your account, security, and changes to our terms or policies; and
• Comply with legal obligations and enforce our agreements.

How We Share Information

We do not sell your personal information. We share information only in the following circumstances:

Service Providers and Sub-Processors

We share information with trusted vendors who perform services on our behalf and are bound to protect it. These include Stripe for payment processing, cloud hosting and database providers that store our data, email delivery providers used to send matches and account messages, AI providers used to perform candidate-to-job matching, and analytics providers that help us understand how the Service is used. These providers may process information only to perform services for us.

Legal and Safety

We may disclose information if we believe in good faith that it is necessary to comply with applicable law, a subpoena, or other legal process; to enforce our terms; to protect the rights, property, or safety of WiseMatcher, our customers, or others; or to investigate and prevent fraud, security issues, or technical problems.

Business Transfers

If we are involved in a merger, acquisition, financing, reorganization, or sale of assets, information may be transferred as part of that transaction. We will continue to protect it in line with this policy and will notify you of any material change in how your information is handled.

Cookies and Analytics

We use cookies and similar technologies to keep you signed in, remember your preferences, secure the Service, and understand how it is used. Some cookies are necessary for the Service to function; others support analytics and product improvement. You can usually control cookies through your browser settings, though disabling certain cookies may affect how the Service works. We use analytics tools to measure usage and performance; these providers may collect information such as your IP address, device and browser details, and pages visited.

Candidate Data

Resumes and CVs uploaded to the Service describe job candidates. As our customer, you direct how this information is used, and you are responsible for ensuring that you have the necessary rights, permissions, and consents to upload and process each candidate's information through the Service for job-matching purposes. We process candidate data on your behalf solely to provide the Service, including extracting resume text, matching it against job listings, and delivering results to the recipient you choose.

We do not use candidate resume content to make independent decisions about candidates, and we do not sell it. If a candidate asks us to access, correct, or delete their information, we will refer the request to the customer who uploaded it, since that customer controls the information. Candidates should contact the recruiter or agency that manages their data directly.

Data Retention

We keep information for as long as your account is active and as needed to provide the Service, comply with our legal obligations, resolve disputes, and enforce our agreements. Candidate resume text and matcher run history are retained while the related matcher or candidate library entry exists; deleting them removes the associated stored text and run history from our systems. After you close your account, we delete or de-identify information within a reasonable period, except where we are required or permitted to retain it (for example, for tax, accounting, or legal compliance).

Security

We use administrative, technical, and organizational measures designed to protect information against unauthorized access, loss, misuse, and alteration, including encryption in transit, access controls, and isolation of customer data. No method of transmission or storage is completely secure, so we cannot guarantee absolute security. You are responsible for keeping your account credentials confidential and for the security of the recipient email addresses you configure.

Your Choices and Rights

You can review and update your account information and matcher settings at any time within the Service. You may delete matchers and candidate library entries you have created. You can opt out of non-essential marketing emails by following the unsubscribe instructions in those messages; we will still send you necessary account and transactional messages. California Privacy Rights (CCPA/CPRA)

If you are a California resident, the California Consumer Privacy Act, as amended by the California Privacy Rights Act, gives you certain rights regarding your personal information. This section describes those rights and how to exercise them.

In the past twelve months, we have collected the following categories of personal information: identifiers (such as name, email address, and IP address); commercial information (such as subscription and billing records); internet or other electronic network activity (such as usage and device data); and professional or employment-related information (such as the contents of resumes and CVs uploaded to the Service). We collect this information from you directly, automatically through your use of the Service, and from our service providers.

Subject to certain exceptions, you have the right to:

• Know what personal information we collect, use, and disclose about you;
• Delete personal information we have collected from you;
• Correct inaccurate personal information we hold about you; and
• Opt out of any sale or sharing of personal information for cross-context behavioral advertising.

We do not sell your personal information, and we do not share it for cross-context behavioral advertising. We will not discriminate against you for exercising any of these rights. We will verify your request using the account information we hold, and you may use an authorized agent to submit a request on your behalf where the law permits.

Children's Privacy

The Service is intended for businesses and their authorized users, and is not directed to children. We do not knowingly collect personal information from anyone under the age of 16. If you believe a child has provided us with personal information, please contact us at hi@wisematcher.com and we will take appropriate steps to delete it.

Third-Party Links

The Service and our emails may contain links to third-party websites and job listings that we do not operate or control, including the job boards from which matches are sourced. This Privacy Policy does not apply to those third parties. We encourage you to review the privacy policies of any third-party site you visit.

International Users

We are based in Canada, and the information we collect may be processed and stored in Canada, the United States, and other countries where we or our service providers operate. These countries may have data-protection laws different from those in your own jurisdiction. By using the Service, you understand that your information may be transferred to and processed in these locations.

Changes to This Policy

We may update this Privacy Policy from time to time. When we make material changes, we will update the date at the top of this page and, where appropriate, notify you by email or through the Service. Your continued use of the Service after an update means you accept the revised policy.
